Duplicate Affiliation Check
Duplicate Affiliation Check scans all affiliation paragraphs in your document and flags pairs that are identical, potentially identical, or share the same label marker. Both paragraphs in a matching pair receive a Word comment. No changes are made automatically—all corrections require manual review.
Preparing to use Duplicate Affiliation Check
Affiliation paragraphs must use the affiliation paragraph style configured for your publication. No prior workflow step is required.
Run Duplicate Affiliation Check
- Open your document in Microsoft Word.
- Select the Advanced Workflow tool to open a dropdown (Word → Orion → Edit → Advanced Workflows).
- Select Duplicate Affiliation Check. Typefi Orion scans all affiliation paragraphs in the document. Word comments are inserted where duplicates or label conflicts are found.
After running
Comments are inserted on both paragraphs in each flagged pair. If no comments are inserted, no duplicates were detected.
Why does a comment say affiliations are identical?
Two affiliation paragraphs contain identical content (comparison is case-insensitive). Both paragraphs receive a comment titled Duplicate affiliation detected with body: [N] and [M] are identical
Action: Remove the duplicate paragraph and update any author–affiliation markers that referenced it.
Why does a comment say affiliations are potentially identical?
Two affiliation paragraphs partially overlap—for example, one includes a department name that the other omits: "Division of Oncology, Memorial Sloan Kettering Cancer Center, New York, NY" and "Memorial Sloan Kettering Cancer Center, New York, NY" would be flagged as potentially identical. Both paragraphs receive a comment titled Possible duplicate affiliation detected with body: [N] and [M] are potentially identical
Action: Review both paragraphs. Merge them if appropriate, or confirm they are intentionally distinct.
Why does a comment say an affiliation label is duplicated?
Two affiliation paragraphs use the same label marker (number, letter, or symbol). The affected paragraph receives a comment titled Duplicate affiliation detected with body: Duplicate affiliation label "[label]" detected
Action: Assign a unique label to each affiliation paragraph.
