Improvements

• Author-Date Reference Sorting:
  • Repeat-author dashes (for example, "———. 2020. Title.") now sort in the right order.
  • References with no authors or year are now skipped with a warning, rather than stopping the job.
  • Undated references (n.d.) now sort after dated references by the same author.
• Convert and Clean Citation Style:
  • You can now control where citations land relative to specific punctuation—before or after a colon, comma, or semicolon, for example. Contact Typefi Support to turn this on.
  • Citations that were already superscript or in brackets are now moved to the correct side of punctuation, for example, after a period (.) but before a semicolon (;).
• Citation Matching:
  • You can now match citations to box footnotes (notes at the bottom of a box, marked with a symbol or letter). Contact Typefi Support to turn this on.
  • Figure, table, and box labels now export correctly.
• Table Footnote Citation Matching: You can now choose which footnote symbols are recognised, rather than matching the full default set. Contact Typefi Support to turn this on.

Fixes

• Author-Date Reference Sorting:
  • References that list editors are now sorted by the first editor's surname.
  • Apostrophes in author names, such as "O'Connell", no longer affect sort order.
• Convert and Clean Citation Style:
  • Commas, colons, and semicolons next to citations are no longer deleted or doubled.
  • A paragraph that ends with punctuation followed by a citation no longer stops the job.
• In Citation Matching, citations to figures, tables, boxes, or appendixes that aren't in the document are no longer tagged, so they don't create broken links in exported XML.

Improvements

• Citation Matching, Check Numbered Citation Order, and Bibliographic Citation Renumbering now work with the Bibliographic References - Citation Optional style set on newer Typefi servers.
• Author-Date Reference Sorting: You can now use Chunk Start Paragraph or Chunk End Paragraph style sets to sort references independently within each section, for example, chapters with their own reference list.
• Citation Matching:
  • References that start with a repeat-author dash (for example, "———. 2020. Title.") now take their authors from the reference before them, so their citations are matched.
  • Editor-named references (for example, "Cooke, Anthony, and Ann MacSween, eds. 2000") now match citations such as "(Cooke and MacSween 2000)".
  • Superscript 2 and 3 after a closing quotation mark or ellipsis are no longer misread as area or volume units (mm², cm³).
  • Object citations now record the type of object cited, such as video or figure, so exported XML links to the right object.
• Export Preflight:
  • Ambiguous dates, such as "7/2/2025", can now be read as US-style (MM/DD/YYYY) rather than the default DD/MM/YYYY.
  • Organisation names that were previously tagged as part of an address are now recognised.

Fixes

• Convert and Clean Citation Style: Back-to-back superscript citations in separate parentheses, for example, (14) (15), are now combined into a single citation.
• Citation Matching:
  • References by two organisations are no longer flagged as uncited when their citations are matched.
  • A single letter that starts a heading, such as "A" in "A young and growing workforce", is no longer tagged as a section label.
• Bibliographic Citation Renumbering: Empty paragraphs no longer appear after the reference list when a document has both a reference list and a bibliography.
• Export Preflight no longer splits an abbreviation definition at a comma when the abbreviation and definition are separated by a tab, em dash, or spaced en dash.

Improvements

• Citation Matching:
  • Citations of "Supplementary Figure 1", "Supplemental Table 2", or "Suppl. Fig. 3" are no longer tagged as citations of the underlying object, such as "Figure 1", so they don't conflict with a citation of that object elsewhere in the text.
  • Author-date citations with a period between the authors and the year are now recognised, for example, "Lee and Park. (2012)" or "(Lee and Park. 2012)".
  • A two-name citation joined by a comma, with no "and" or "&", now matches a one-author reference using the second name when no two-author reference matches, for example, "(OPI, Brandon, 2022)".
  • Object citation and caption labels, such as "figura" or "recuadro", are now recognised in lowercase, capitalised, and all-caps forms in every configured language.
  • Spanish now recognises "recuadro" as a distinct object word for "box", separate from "cuadro".
  • Author-date citations with two authors joined by a non-English conjunction, such as "y" in Spanish, are now recognised, for example, "Quintana y Cravo (2019)". Equivalent joining words are also recognised for Portuguese, Italian, French, German, Dutch, Norwegian, Danish, Swedish, and Finnish.
• Export Preflight:
  • ORCID iDs written in parentheses immediately after an author's name are now recognised and tagged, whether or not the author name has already been tagged, for example, "Jin Seok Woo(https://orcid.org/0000-0001-8921-2832)".
  • "Korea" is now recognised as a country name in affiliations, for example, "Seoul, Korea".

Fixes

• Author-Date Reference Sorting: A stray space at the start or end of a styled author name no longer affects sort order.
• Citation Matching:
  • The job no longer fails when a label word, such as "figura", is listed for more than one language.
  • The second figure in an "and"-joined citation group is no longer dropped when it follows an unrelated citation earlier in the same parentheses, for example, "Fig. 3 and Fig. 4" following a name-date citation.
  • A figure citation introduced by descriptive text and grouped with an unrelated citation in the same parentheses is now recognised, for example, "(Dragovich et al., 1997; dotted line in Figures 3b and 5c)".
• Check Numbered Citation Order no longer rewrites the text of a single object citation, for example, changing "Figs. 1" to "Fig. 1", when Citation Matching had only tagged part of a longer citation such as "Figs. 1 and 2".
• Bibliographic Citation Renumbering: Cited references are no longer reported as uncited when their citation contains a Check Numbered Citation Order comment.

Improvements

• Author-Date Reference Sorting now adds a warning comment when references sorted by citation format (for example, Cell Press) could be cited the same way, such as several references that would each be cited as "Tursi et al., 2020". Add year letters to tell them apart.
• Convert and Clean Citation Style: Citations next to a colon (:) or semicolon (;) are now placed before the punctuation.
• Citation Matching:
  • You can now use Chunk Start Paragraph or Chunk End Paragraph style sets to treat a document as independent sections (for example, chapters that each have their own reference list), so citations are matched only against references in the same section. If both style sets are configured, Chunk Start Paragraph takes priority and a warning is logged.
  • Author-date citations that follow descriptive text and a semicolon inside the same parentheses are now recognised, and the descriptive text is left out of the citation, for example, "(most <0.80 Mt Cu; Rowins, 2000; Smith et al., 2012; Cao et al., 2014)".
  • Author-date citations that could refer to more than one reference in the list now get a warning comment, as do their matching references, for example, when two references would both be cited as "Li et al., 2019".

Fixes

• Convert and Clean Citation Style:
  • Volume and issue numbers in running text (for example, 2019; 14(3):210) are no longer converted to citations.
  • A superscript citation between a closing parenthesis and a comma is now moved after the comma, for example, "(ABC)¹," becomes "(ABC),¹".
• Citation Matching:
  • An "et al." citation—which requires three or more authors—no longer matches a two-author reference that shares the same first author and year.
  • Table citations in a document that contains no tables are no longer tagged as matched.
  • Warnings for references with no tagged authors no longer refer to numbered references.
• Check Numbered Citation Order: Fixed an issue where every citation after an out-of-order citation also showed a warning.
• Export Preflight: Author names with a hyphenated initial, such as "Müller, H.-P.", are now tagged when the surname appears first.

What's new

• A new Accept Tracked Changes step can be added to workflows such as Export to XML to accept tracked changes first. It can accept all tracked changes, or only those by named authors.

Improvements

• Citation Matching and Check Numbered Citation Order can now treat a dash between a figure number and a part number (for example, Figure 2-4) as a part separator rather than a range. Contact Typefi Support to turn this on.
• Citation Matching:
  • Citations of video and audio objects, such as "Video 1" or "Audio S1", are now recognised and matched.
  • Figure citations that use the full citation-and-panel format in a figure caption, such as "Fig. 3-A:", are now recognised and matched in body text.
  • Figure citations that combine a figure number with bare panel letters are now matched, for example, "Figs. 5A and E" or "Figs. 5D, F, and H".
• Check Numbered Citation Order: Sectional figure and table numbers, such as "Figure 5.1" and "Table 3.2", are now recognised and their citation order is checked.
• Bibliographic Citation Renumbering now checks that every in-text citation has a corresponding reference entry before renumbering begins. If any citations are missing a matching reference, a warning appears in the job report.
• Export Preflight:
  • Author names with the surname written entirely in capitals, such as "Chun FENG" or "Shou-Guo LIU", are now recognised. Uppercase surnames are no longer confused with degree abbreviations that follow them, such as "MBA".
  • You can now run it again on a document it has already processed. Existing author and affiliation markup is cleared first, so the result matches a first run.
  • More academic degrees and organisation names are now recognised.

Fixes

• Convert and Clean Citation Style:
  • Spaces next to superscript citations, either a trailing superscript space after a citation or a baseline space before one, are now removed during conversion.
  • Extra commas are no longer added next to citations, and spaces next to citations are no longer removed.
  • Superscript citations in style 7 (numbers with a closing parenthesis only) are no longer output in the style 5 format.
• Citation Matching:
  • The second and third citations in a group of three figure citations that include panel letters are now tagged along with the first, for example, "Figures 8c, 10c, and 11c".
  • Introductory words such as "Similarly" no longer appear inside a citation tag when they immediately precede an author-date citation.
• Check Numbered Citation Order no longer fails when:
  • An object citation contains bold or underline formatting.
  • A citation setting in Compass has no saved value. The workflow now uses the setting's first option and adds a warning to the job log.
  • The special characters configuration has no space characters, or a citation separator in Compass is blank.
• Bibliographic Citation Renumbering:
  • Renumbering no longer fails when two consecutive out-of-order citations have Word comments between them.
  • Renumbering no longer fails when the document contains empty paragraphs styled as references.
• Duplicate Affiliation Checking no longer completes without adding warnings when duplicate or near-duplicate affiliations are present in the document.

Improvements

• Check Numbered Citation Order and Bibliographic Citation Renumbering workflows can now check citations by group, for example, checking all main-text citations first, then tables, figures, and boxes in turn instead of one continuous pass through the whole document.
• Citation Matching now tags figure citations that use a hyphen, non-breaking hyphen, en dash, or em dash as a separator between a figure, table number, and a panel label (for example, "Fig. 3-A" or "Figure 6–1"). Panel labels that appear within a figure's own caption are not tagged as citations.
• In Export Preflight, all affiliation labels in a paragraph that lists multiple affiliations are now recognised, so false Unmatched Affiliations comments no longer appear.

Fixes

• Check Numbered Citation Order and Bibliographic Citation Renumbering:
  • Reference styles in the Bibliographic References - Citation Optional style set, which are works consulted but not cited, are now excluded from order checking and renumbering.
• Convert and Clean Citation Style:
  • Dashes in citation ranges are now always changed to your Citation range dash setting in Compass.
  • A list number at the start of a paragraph, such as "(1)" or "1.," is no longer incorrectly converted to a citation.
• Citation Matching:
  • A leading space after a punctuation mark is no longer included in the citation when an author-date citation follows.
  • Superscript reference citations in table title paragraphs are now recognised and tagged.
  • Text such as "cross-section ~5 km" is no longer tagged as a section citation.
• Check Numbered Citation Order:
  • False out-of-order warnings no longer appear when a document contains a table numbered 1 alongside higher-numbered tables, such as Table 10 or Table 11.
  • Reference citations in author-date styles, such as "(Lancelot et al., 2016)" or "[Bedevere et al., 2019]", are now skipped. Author names in these citations are no longer dropped, and no false out-of-order warnings appear.
  • Panel letters in figure citations, such as "Fig. 2(A–C)" or "Fig. 4A," are no longer duplicated.
  • An object name, such as "Exhibit," is no longer duplicated when a citation and its caption use different capitalisation.
• Table Footnote Citation Matching: Table footer paragraphs that can't be cited, such as table legends, no longer get a false warning.
• Export Preflight:
  • A lowercase "the" before a collaborative author's organisation name, as in "for the Knights of Ni Research Collaborative", is now treated as part of the connecting phrase, not the organisation name. Organisation names containing the word "and" are also no longer split into separate groups.
  • The last word of a collaborative author's organisation name is no longer tagged as an author role when that word appears in the roles vocabulary.

  • Citations to individual panels within unnumbered figures—for example, "(Figure, A)" or "(Figure, A–C)"—are now recognised.
  • Alternative object names—such as "Exhibit"—and non-English language object names—such as "Tableau"—are now correctly recognised.
• Harvard-to-Vancouver Citation Conversion:
  • Reference tags added by SmartReferences v2.0 (or later) are now supported.

Fixes

• Citation Matching:
  • Object labels in caption paragraphs, such as "Exhibit 1.", assigned to the No Citations style set are now correctly identified.
  • Panel letters that appear in Figure Caption Continued paragraphs are now correctly identified, preventing incorrect "uncited" warnings for multi-part figure captions.
  • An incorrect warning no longer appears when a figure citation includes panel letters but the figure caption does not explicitly list them, for example, 'Fig. 2A' citing a caption that reads 'Fig. 2.'.
  • Author-date citations with two or three authors are now identified more accurately, reducing false "unmatched citation" warnings for references with multi-word author surnames, for example, 'van den Berg'.
  • A standalone year is no longer incorrectly marked as an author-date citation when no author name precedes it.
  • Publications with paragraph styles assigned to the Bibliographic References - Citation Optional style set are now handled correctly, avoiding process failures and incorrect uncited-reference warnings.
  • Superscript 2 or 3 is no longer treated as a citation in units of area or volume—for example, mm² or mm³.
• Export Preflight:
  • Keyword processing no longer fails when the first keyword in a list is formatted in italic or bold.
  • Author degrees that contain periods, such as M.Sc. or M.B.B.Ch., are no longer duplicated.

• All workflows:
  • Advanced Workflows now labels its warning comments with the correct workflow name, making them easier to identify and filter in Word's review panel.
• Author-Date Reference Sorting:
  • Reference entries marked up by SmartReferences are now correctly reordered. Reference tags stay attached to their reference when the list is sorted.
• Citation Matching:
  • Author-date citations where the author's name contains accented or non-ASCII characters, for example "Bécel et al. (2020)" are now correctly matched.
  • A wider range of author-date citation formats are now recognised, including citations where the year directly follows the author name without a comma for example, "(Franke 2013)" and groups of citations separated by commas rather than semicolons for example, "(Franke 2013, Smith 2015)".
  • Author-date citations preceded by other text inside the same parentheses—for example, "(see also; Smith, 2020)"—are now handled correctly.
  • References that contain more than one year—such as preprints with an original and a revised date—are now handled correctly.
  • Additional author-date citation formats identified during extended testing are now recognised.
  • Figure citations that include a lowercase panel letter—such as "Figure 3a" or "Figure 5b"—are now recognised.
  • The warning comments inserted when citations cannot be found now use clearer wording.
• Export Preflight:
  • Authors are now correctly matched to their affiliations in documents that contain more than one author section—for example, a main author block and a separate correspondence section.
  • Improved tagging of author names that refer to a group or organisation (for example, the ATLAS Collaboration or the UKPDS Group).

Fixes

• Convert and Clean Citation Style:
  • An unnecessary comma no longer appears before a reformatted citation when the citation is followed by a period.
• Citation Matching:
  • Figure caption labels no longer extend into the caption text when the caption begins with an uppercase abbreviation such as "US".
  • In-text citations are now correctly paired with references even when the reference number includes punctuation such as a period or parentheses.
  • Fixed an issue where a figure referenced within another figure's caption was tagged as a label rather than a citation.
• Check Numbered Citation Order:
  • Citation ranges inside table cells (for example, [118-137]) no longer cause an error.
• Bibliographic Citation Renumbering:
  • Table citations and Word comments are no longer modified or removed when the document has previously been processed by Check Numbered Citation Order.
  • Word comments inserted by Check Numbered Citation Order no longer cause modifications to table citations.

Known issues

• Harvard-to-Vancouver Citation Conversion does not yet support SmartRefs 2.0 reference tags. This will be fixed in a future release.

Advanced Workflows 1.1

What's new

• All workflows:
  • Each publication can now have its own citation configuration that overrides the global default. When no publication-specific configuration exists, workflows fall back to the global default.

Improvements

• Citation Matching:
  • Citations are now matched only in the style configured for your publication, eliminating false matches from other citation styles in the same document.
  • Author-date citations where "et al." is formatted in italic are now recognised correctly.
  • You can now rerun Citation Matching on a document without producing unnecessary warnings. Citation and label styles are cleared before processing, so each run starts from a clean state.
  • You can now match author-date citations regardless of the configured publication style, enabling the Harvard-to-Vancouver Citation Conversion workflow without manual configuration changes between steps.
• Bibliographic Citation Renumbering:
  • Single unnumbered objects (such as a figure, table, or box) cited without a number no longer cause a failure. When configured for unnumbered objects, those citations are skipped. When not configured, a warning comment appears at the citation.
  • Reference entries marked up by SmartReferences are now correctly reordered. Reference tags stay attached to their reference when the list is sorted.
• Harvard-to-Vancouver Citation Conversion:
  • Improved the handling of inline citations where the author name is part of the sentence, such as "Scarborough (2018)." Now the author name is retained and only the year is replaced with the citation number for example, "Scarborough [44]."
• Table Footnote Citation Matching:
  • Footnote symbols formatted in bold, italic, or highlighted are now correctly identified.
• Duplicate Affiliation Checking:
  • Duplicate affiliations are now detected regardless of whether labels use numbers, letters, or symbols. Labels tagged with the af_label character style are now correctly matched regardless of bold or italic formatting.
• Export Preflight:
  • Affiliations where a location word can be either a country or a state are now parsed more reliably using surrounding context.
  • Affiliation label markers—the superscript numbers, letters, or symbols that link authors to their affiliations—are now tagged with the af_label character style, including any adjacent punctuation or whitespace.
  • Affiliation labels formatted as a number followed by a closing parenthesis (for example, 1), 2), 3)) are now recognised.
  • Handling of affiliation entries where the institution name contains commas has improved. Organisation names in the special organisations reference file now take priority before the affiliation splits into its components.
  • Academic degree abbreviations (such as M.D. and Ph. D.) in author lines are now correctly distinguished from name initials.
  • Author names that include middle initials written without periods (for example, "Jonas SO Andersson") are now parsed correctly.
  • Introductory text before collaborative author names (for example, "and" or "on behalf of") is now tagged with the au_collab-type character style for consistent XML export handling.
  • Author line markers that combine an affiliation number or letter with a footnote symbol (for example, 1* or 3†) are now matched independently, eliminating unnecessary warnings about unmatched markers.

Fixes

• Convert and Clean Citation Style:
  • Back-to-back parenthetical citations such as (1)(2)(3) are now converted as a group.
  • Superscript 2 or 3 in scientific units (for example, m² or kg/m³) is no longer treated as a citation number.
  • Zero (and numbers starting with zero) are no longer treated as citation numbers.
  • Numbered items in parentheses that follow a colon, semicolon, or comma with a space (for example, (1) none; (2) mild; (3) moderate) are no longer converted as citations.
• Export Preflight:
  • Affiliations are no longer flagged as unmatched when their labels have been tagged with the af_label style.
