SmartRefs plug-in release notes

The SmartRefs plug-in streamlines reference processing by combining formatting, verification, and integrity checks into a single pass. The SmartRefs workflow action submits your references to Edifix—automatically parsing them into your editorial style while validating references against Crossref™ and PubMed®. It also flags retracted papers from Retraction Watch and incomplete entries for review.

The latest version of the SmartRefs plug-in is 5.0.13, released on 12 September 2026.

Improvements

• Added a Parameters field to the SmartRefs workflow action. This allows Typefi to turn on extra settings for your specific setup. Contact us if you'd like one added. See the Advanced tab in the SmartRefs reference guide.
  • If a Parameters value causes Edifix to return a response SmartRefs can't process, the job fails with a clear error identifying the problem.

Fixes

• In the Reference paragraph styles field, you can now manually add more than one style name, separated by a newline.
• SmartRefs no longer writes a duplicate "doi:" or "PMID:" label when Edifix returns a reference as publication-type "unknown" and the author's own label is already in the text.

What's new

• SmartRefs now recovers more references automatically on the first pass: if a DOI-bearing reference has a mismatched "online-first" locator, or all-capital-letter author names caused a title mismatch, SmartRefs retries it automatically and keeps the correction only when the DOI or PMID still confirms it's the same reference. See Helping Edifix tag a difficult reference for the manual version.
• If you're migrating from eXtyles and your house reference style isn't one of Edifix's predefined editorial styles, SmartRefs can now match it directly using the new eXtyles® editorial style field—no custom development required. Journal-name abbreviations aren't matched yet; that's planned for a later release. See eXtyles® editorial style in the SmartRefs reference guide.

Improvements

• Several improvements to reference comments:
  • If a reference didn't align with its neighbours, or was too similar to another to tell apart, SmartRefs now reprocesses it individually, and flags the result for a quick check. See What to do when a reference needs review.
  • Duplicate-reference comments now name every other occurrence of a repeated reference, not just the first pair. The original reference doesn't get a comment; each duplicate gets its own, naming the original and the other duplicates. See Understanding duplicate-reference comments for more.
  • Condenses repeated Crossmark notices of the same kind (for example, multiple erratum links) into a single comment with all links, instead of repeating the same sentence for each.
• The SmartRefs workflow action job log now shows how long a job took, plus the number of references sent, and the number Edifix reported processing.
• Renamed the Citation style field to Editorial style.
• You can now append a Google Scholar search link to each eligible reference. See the Advanced tab in the SmartRefs reference guide.
• Updated the SmartRefs plug-in icon.
• Removed the Run Cabells validation option.

Fixes

• SmartRefs no longer leaves a document unprocessed when it finds a reference that's broken across three or more lines (for example, from pasted PDF text). Now it continues to correct and style the document normally while isolating the broken reference for your manual review. See What to do when a reference needs review for more.
• Several fixes to how SmartRefs handles whitespace around reference numbers:
  • A reference number with no space after the period (for example, "23.Smith…") no longer gets dropped from the output.
  • A tab or multiple spaces between a reference's number and its text no longer get lost, so the number doesn't run into the reference text.
  • An unusually large number of repeated spaces or tabs in a reference no longer stalls the job.

Improvements

• SmartRefs 3 processes references individually: a reference that can't be resolved is flagged with a comment, and the rest of the document still updates. Previously, a partial or dropped reference caused the entire job to return unchanged.
• SmartRefs now recovers references when Edifix merges a partial entry with its neighbour and drops one of them. Each is resolved separately, and only references that still can't be resolved remain flagged for review.

Fixes

• Numbered references no longer fail Citation Matching when their label includes trailing punctuation (for example, "1." or "1").
• Fixed references that were previously only partially styled due to an incomplete page range (for example, 32–).
• References are now processed correctly regardless of whether Generate tps: prefixes is enabled in the preceding Import DOCX action. Previously, turning this setting off caused SmartReferences to report "No paragraphs matching the configured styles" even when the style group was configured correctly.
• Book chapter references that include both an editor and a chapter title are now tagged edb rather than bok.
• Fixed an issue where a DOI and PubMed identifier appeared without a space between them (for example, doi:10.1016/j.example.001PMID:34418376).

• Extracts reference paragraphs from Typefi Content XML (CXML) using a configurable list of paragraph styles.
• Submits references to Edifix for parsing and citation style formatting, with metadata correction using PubMed® and Crossref™.
• Reinserts each processed reference with bib_* character styles and DOI hyperlinks applied.
• Flags incomplete entries and articles in Retraction Watch with a warning comment.
  • Warning comments are now anchored at the end of the reference paragraph so character styling remains visible.
• PubMed® and Crossref™ validation can each be enabled or disabled in the Advanced tab.
